Overview About Westchester Hills Golf Club Located in the heart of New York's beautiful Westchester County, Westchester Hills Golf Club is a family-friendly private golf club in the stately Gedney Farms neighborhood of White Plains. Founded in 1913, our club is rich in history and camaraderie, and is a place where club members enjoy competitive golf tournaments, tennis, swimming, fitness, a full calendar of social events, casual and gourmet dining, host private functions, and much more. Best known for our 18-hole championship golf course designed by Peter Clark, his Donald Ross-inspired design features tree-lined fairways, rolling hills and contoured greens bordered by challenging bunkers. In 2022 Rees Jones completed a course renovation, which included greens, tees, fairways and bunkers. In total, the club conducted the following: Renovated a golf course originally designed in 1913 Added 20,000 sq ft of Green expansions Added 50,000 sq ft of chipping expansions Added 30,000 sq ft of Fairway expansions Installed XGD drainage in all greens Upgraded and renovated all Bunkers with new sand and Capillary concrete Installed 10 acres of new sod throughout the course Installed a brand new irrigation wall to wall on the course, consisting of 12 miles of pipe, 1,250 sprinkler heads and 54 quick connects Built a new putting green with family firepits for s’mores and lounging Westchester Hills' historic clubhouse, originally built in 1926, was remodeled in 2012 in preparation for the club's centennial anniversary which was celebrated in 2013. Other amenities of the club include a practice range, two chipping and putting facilities, a fitness center, two swimming pools, two tennis courts, the Patio and our newly-renovated Grand Room for events. In 2024 the club unveiled a brand new Golf Shop and Two Bay indoor Golf Performance Studio. Director of Membership Sales Job Description FLSA Status: Exempt Department: Sales and Marketing Reports to: General Manager General Purpose: Develop and implement marketing and sales programs, projects and activities designed to increase the sale of memberships; retain existing membership in the club beyond historical averages and in accordance with the club’s goals, objectives, strategic plans, rules & bylaws. Represent the club in its relationships with numerous internal and external constituencies, and retain existing membership. Essential Duties: Maintains club’s membership database and roster using our CRM system, keeping current our membership certificate register, resignations, transfers, address & contact information. Develops and ensures that established procedures for processing prospective members’ applications are consistently followed; responsible for administrative processing of member applications and all appropriate membership administrative reports. Plans and implements strategies to meet club membership goals. Processes all requests for and transfers of membership Assists prospective members in fulfilling application requirements. Conducts orientation program for new members. Promotes club activities and events. Develops and implements prospective member functions Calls and requests active members & new members to make personal referrals and to assist with recruitment efforts. Determines markets to be canvassed for qualified individuals; implements programs that yield new members. Develops, implements, manages and monitors a sustainable and successful Member Retention Program. Assesses the need for and makes recommendations regarding retention and recruitment to help ensure that the needs of ever-changing markets are met. Co-chairs Membership Committee and other related club committees to assure members’ interests are consistently addressed, along with the Board Assigned Committee Chair. Conducts tours for prospective members. Follows up on telemarketing efforts, member referrals, leads from staff, catering contracts, newspaper articles, lists, publications, etc. Organizes production of membership kits for sales calls, and direct mail activities. Researches the need for on-going sales promotions regarding demographics, market segmentation data, etc. Provides sales and other applicable training for staff members. Tracks and analyzes the success and overall performance of all membership activities via CRM. Collaborates with management and committees to coordinate & develop the club’s social & golf activities. Maintains a file of club history information (to include exit interviews). Coordinates, through Communications Department, club public relations efforts, members’ newsletters, news and media events and club brochures. Attends management and staff meetings. Performs trend analysis and provides recommendations based on the findings Effectively responds to member comments in accordance with club standards, policies and rules; uses ideas, feedback and suggestions to continuously improve the services provided to members. Develops and manages departmental sales goals; monitors and takes corrective action as necessary to help assure that sales goals are met. Participates in professional development opportunities Reports all approved new members to Accounting & other pertinent Department managers/Staff to initiate proper administration of their memberships; ensures that applications are completely and properly filled out, that initiation fees are collected and that new members understand the privileges and costs of becoming a member. Interacts with local Chamber of Commerce, Social and Civic Organizations, Realtors, city Officials and other community organizations to network and market the club. Provides notices and agenda for club’s membership committee; issues invites to meetings, and maintains minutes of the club’s membership committee. Maintains club’s member bulletin board. Maintains all waiting lists for club and golf memberships. Surveys other clubs for information useful in setting and revising club membership policies. Completes other appropriate assignments as instructed by the General Manager Education/Experience: Bachelor’s degree; or 3-5 years of related experience. CRM, POS, and other standard software systems Physical Demands: Typical office environment, occasionally stands and walks, frequently sits. Typically requires routine use of personal computer and general office equipment. Environment/Noise: Noise level is moderate. Certificates/Licenses: No certifications or licenses are required. Job Knowledge, Skill, and Ability Preferences Ability to read and speak English in order to perform the duties of the job (e.g. the associates are required to communicate with English speaking customers or co-workers, the manuals for the equipment the associates may use are in English). Exceptional organizations skills; maintains accuracy and neatness; ability to multitask. Intermediate to advanced computer skills including, but not limited to, use of Microsoft Word and Excel. Ability to accurately type at least 50 words per minute. Ability to work independently with little or no supervision. Ability to communicate verbally and in writing. Ability to compose letters and to facilitate phone calls and general inquiries sensibly.
