Carillon Miami Wellness Resort is seeking a dynamic and detail-oriented Event & Sales Coordinator to support our Sales & Events team in curating exceptional wellness-focused gatherings, corporate retreats, and social celebrations. Under the direction of the Director of Sales & Marketing, this role is ideal for an individual passionate about hospitality, wellness, and event planning, eager to gain hands-on experience in a luxury resort setting. The coordinator will assist the Group & Catering Sales Manager in managing client inquiries, coordinating events, and ensuring seamless execution while also exhibiting sound decision-making skills, efficiency and professionalism from initial booking to final wrap-up.

  1. Essential Job Functions

  1. Assist Sales Manager in planning and executing retreats, corporate meetings, social gatherings, and special events.
  2. Prepare Banquet Event Orders (BEOs), proposals, and contracts to ensure precise event details.
  3. Support the Sales Manager with various tasks, including but not limited to event checklists, contract turnover, group blocks, rooming list entry, reservations, and the billing process for all groups and events
  4. Collaborate with internal teams (spa, wellness, culinary, People & Culture, and operations) to bring each event to life.
  5. Support site inspections and walk-throughs for prospective clients.
  6. Provide on-site assistance during events, ensuring smooth execution and addressing last-minute adjustments.
  7. Prepare files and documents for BEO & Resume meetings chaired or attended by the Sales/Marketing Team
  8. Handle administrative duties including incoming and outgoing correspondence, assist in generating weekly and monthly reporting and support in absence of Sales Manager
  9. Respond to event inquiries and assist in converting leads into confirmed bookings.
  10. Maintain an organized database of clients, events, and sales activities.
  11. Conduct research on industry trends and competitor offerings to support sales initiatives.
  12. Assist in creating sales presentations, proposals, and follow-up materials.

  1. Education, Experience and Skill Requirements

  1. Strong verbal and written communication skills required.
  2. Technical proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  3. Strong typing ability and exceptional organizational skills.
  4. Must uphold a high level of confidentiality in all matters.
  5. Highly detail-oriented with a keen focus on accuracy.
  6. Must possess ability to coordinate with multiple tasks and meet deadlines
  7. Excellent communication skills both written/verbal in the English language
  8. Requires high levels of interaction with all members of staff and team collaboration.
  9. Possess high degree of stamina, agility and flexibility
  10. Able to present themselves with an uplifting personality.
  11. Strong level of professionalism must be displayed at all times
  12. Exceptional customer service skills with the ability to address and resolve issues effectively.
  13. Bilingual is a plus but not required.
  14. Knowledge of Opera PMS and Sales Force is preferred.
  15. Bachelor’s degree in hospitality or events related field is preferred.
