*Job Summary:* We are seeking a highly organized Sales Coordinator with strong Microsoft Office and clerical experience to support our sales team and ensure seamless coordination of group events and guest services. This role requires excellent communication skills and attention to detail to manage signage, printed materials, guest deliveries, and operational updates. The Sales Coordinator will act as a key liaison between departments, ensuring all details are communicated effectively to provide a high-quality guest experience.
*Key Responsibilities:*
* Utilize Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) to manage and distribute sales materials, reports, and communications. * Coordinate and print group signage, menus, and Banquet Event Orders (BEOs), ensuring accuracy and timely distribution. * Manage and communicate BEO changes to relevant departments. * Inform operations and valet teams of group arrival times to ensure a seamless guest experience. * Communicate VIP guest arrivals to all necessary departments. * Coordinate and manage the receipt of guest and group deliveries, ensuring proper documentation and distribution. * Plan and communicate amenity drops for guests, ensuring timely and accurate execution. * Serve as a liaison between the sales team, operations, and other departments to ensure all event and guest needs are met. * Provide general clerical support, including data entry, filing, and maintaining sales records. * Assist with additional administrative duties as needed.
*Requirements:*
* Proven experience in a sales support, administrative, or event coordination role. * Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) is required. * Experience with Triple Seat, Stay in Touch and Toast software if preferred. * Strong clerical and organizational skills with a keen eye for detail. * Excellent verbal and written communication skills to interact effectively with internal teams and guests. * Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment. * Experience in hospitality, events, or a hotel environment is preferred. * Knowledge of Banquet Event Orders (BEOs) and group coordination is a plus.
