Position Purpose
The Medicare Sales Assistant is vital in supporting the Medicare Insurance Agent by managing administrative tasks, client communications, and service responsibilities. This position ensures that the Agent is free to focus on prospecting, building relationships, and conducting sales appointments.
This is also a hands-on apprenticeship opportunity . The Sales Assistant will gain direct experience in the Medicare industry, learning sales processes, client management, and compliance requirements. With strong performance, this role provides a clear pathway to becoming a licensed Medicare Insurance Agent , with greater responsibility, earning potential, and career growth.
Key Responsibilities
1. Sales Support & Prospect Tracking
Prepare and send appointment letters and emails.
Manage reminders, reschedules, and follow-up communications.
Coordinate digital newsletters, email drip campaigns, and enrollment reminders.
Draft and send enrollment appointment confirmations.
Send Scope of Appointment (SOA) forms to clients, ensure they are completed, collected, and properly curated into the client’s file for compliance.
Track prospect activity in CRM and maintain accurate records.
2. Client Onboarding
Process enrollment paperwork (scope, applications, SSA forms).
Send follow-up letters confirming enrollment actions.
Conduct approval calls and provide member numbers.
Confirm client receipt of Medicare cards.
Make welcome/birthday calls to new clients.
Send client care packages (e.g., pillboxes) and follow up to confirm receipt.
Encourage client engagement by asking for Google, Facebook, and BBB reviews.
3. Client Service & Retention
Send newsletters, birthday cards, and email blasts.
Answer basic Medicare questions and provide customer support.
Troubleshoot and resolve plan issues, escalating when needed.
Assist with plan changes (e.g., Medigap savings opportunities).
Maintain proactive communication to ensure client satisfaction and retention.
4. Annual Election Period (AEP) Support
Prepare and mail AEP letters to active clients.
Run prescription drug comparisons for clients with Part D or Medicare Advantage with drug coverage.
Coordinate AEP scheduling and client communications.
5. Technology & Administration
Use Microsoft Office, Adobe, CRM systems, and other digital tools effectively.
Demonstrate a willingness to learn new technologies and processes.
Maintain organized records, compliance files, and digital documentation.
6. Compliance & Office Policies
Adhere to HIPAA and client confidentiality rules.
Follow agency rules regarding work hours, dress code, and use of client data.
Maintain proper insurance licensing as a Licensed Only Agent (LOA) under the agency.
Ensure all clients written under your license are agency clients.
Qualifications
Active Nebraska Life & Health Insurance License OR ability to obtain the license within 3 months.
Strong organizational skills with high attention to detail.
Excellent written and verbal communication.
Proficiency with technology, including Microsoft Office and CRM platforms.
Ability to manage multiple priorities in a fast-paced environment.
Client-focused attitude with professionalism and integrity.
