Regional Sales Assistant

Provide a wide variety of administrative and clerical support to regional sales personnel. Work is performed
under the general supervision of the Region Manager and is responsible for assisting with sales orders, sales
reporting, load planning, telephone coverage, office supplies, literature, mailings, regional events and other
staff support. The regional sales assistant is the liaison between sales, credit, operations and logistics
ultimately helping to insure good communication and product reaches the customer in a timely manner.
Perform a wide variety of administrative and clerical activities to support regional sales personnel.
Receive orders (bulk, package and drop ship), enter them into SAP and invoice when shipping is complete.
Work with sales team and credit to resolve any credit holds.
Build an ongoing open orders spreadsheet for all bulk orders going out daily on tanker trucks, and then take those orders to build (map it and ensure products fit on the truck with weights and compartments ) the loads to go out each day on each truck.
Work closely with the drivers to ensure that they have what they need to load and deliver orders.
Communicate orders to vendors in timely manner and be able to schedule carriers to pick up at vendor if needed.
Develop and analyze sales, accounts receivable expense, and other administrative reports; recommend changes as needed.
Work closely with operations through full process of orders and communicate anticipated changes and needs of product(s).
May assist sales personnel with fleet issues or problems; may act as liaison between regional sales personnel and corporate fleet administrator.
Run freight quotes to add to packaged orders as requested by sales reps.
Enter, code, and process vendor invoices, and help track expenses for capitalizations.
Follow up on all orders to see that they are completed (invoices are received from vendor for drop ships) after delivery/ shipment and that invoices are correct before mailing out.
Maintain and update customer information in every aspect along with delivery paperwork (SAP and hard copy filing).
Assist with the calculation of incentive/rebate payments on a quarterly and annual basis.
Order and maintain inventory of office supplies; coordinate (with operations department on site) other activities related to office facilities, including maintenance and repair of equipment as required.
Receive and distributes incoming mail; post outgoing mail, may act as receptionist for regional sales office; assist with travel schedules, flight arrangements, hotel accommodations, etc.; type letters, memos, reports, charts, presentations, etc. as required.
Compose routine correspondence and prepare reports or replies to requests for information within areas of responsibility.
Qualifications
3+ years general office experience.
Associate’s or Bachelor’s degree is a plus, but not required.
Must have good organization and interpersonal skills and effective oral and written communication skills.
Must have a working knowledge of administrative policies and procedures, working knowledge of personal computer and various software applications including word processing and spreadsheet (experience in Microsoft Outlook, Word, PowerPoint, and Excel preferred).
Must be able to organize and prioritize work assignments and handle multiple priorities and a variety of different administrative duties to support field sales personnel in a fast paced environment.
Must be able to work independently efficiently and learn to adapt to new situations quickly.
At least 1 year experience in SAP preferred, but not required.
Proven ability to multi-task required.
