Job SummaryThe Sales Operations Coordinator serves as a vital support link between sales representatives and internal teams, ensuring accurate documentation, smooth project execution, and an efficient sales process. Working within an Engineering, Procurement, and Construction (EPC) environment, this role focuses on supporting the sales team, coordinating project details, and maintaining compliance, all to deliver a seamless experience from consultation to project completion.
This position is fast-paced and requires strong computer literacy skills. The coordinator will communicate predominately with sales agents to make sure their solar projects progress to installation. Scheduling coordination, particularly site survey appointments with homeowners, is a plus. Multitasking is required, along with a flexible schedule for the operating hours of Mon-Sat, 9:00 AM – 9:00 PM. Pay is based on level of experience and willingness to grow.
- Collaborate with sales representatives to ensure that all project details, agreements, and data are accurately documented and communicated.
- Prepare and review proposals, contracts, and other sales documents, ensuring completeness and accuracy.
- Coordinate with the sales team to schedule site visits, consultations, and internal project milestones.
- Work closely with the EPC project management team to align sales commitments with operational execution.
- Monitor project timelines and coordinate with the sales team to address delays or schedule changes.
- Ensure all necessary permits, inspections, and approvals are secured and documented for project execution.
- Collaborate with internal teams and sales representatives to resolve issues or discrepancies that arise during the sales-to-installation handoff.
- Escalate complex challenges to management as needed and track resolution progress.
- Provide post-project support to internal stakeholders to close out project documentation.
- Maintain accurate records of all project details, agreements, and internal communications in the company’s CRM system.
- Ensure compliance with industry regulations and company policies for all sales-related documentation.
- Assist with the preparation and submission of documentation required for permits, rebates, and incentives.
- Coordinate with sales agents to track project progress.
- Ensure smooth communication between the call center and field teams.
- Maintain accurate and up-to-date project records.
- Utilize computer systems and tools efficiently to support daily operations.
- Contribute to a fast-paced team environment with strong organizational skills.
- Effectively multitask and prioritize in a high-volume environment.
- Bachelor’s degree in Business Administration, Communications, or related field, or equivalent experience.
- 2+ years of experience in sales support, project coordination, or operations, preferably in the solar industry or a related field.
- Strong organizational and time management skills with the ability to manage multiple priorities.
- Excellent attention to detail, with a focus on accuracy in documentation and compliance.
- Proficiency with CRM systems and project management tools.
- Knowledge of the solar industry, including installation processes, regulations, and incentives, is a plus.
- Flexible schedule required to meet operating hours (Mon-Sat, 9:00 AM – 9:00 PM).
