Position Type: Direct Hire Remote Summary:
The Sales Support Specialist serves as a primary business support conduit between Hired by Matrix Sales Support team member(s) and HbM clients. The Sales Support Specialist works closely with HbM sales team members to facilitate the review of resumes, update resumes, schedule interviews, track client items of interest, and generate reports. Further, the Sales Support Specialist is expected to partner with the HbM recruiting organization to ensure a seamless delivery flow between recruiting of candidates and presentation to client MSP.
Required: Intuitive and quick able to grasp the nuances of the staffing space and what clients expect from HbM. Strong people skills with good communication. Must be able to "relateā€ to candidates. Ability to exercise good judgment and make recommendations on how to proceed with candidate issues. A desire to be in the staffing/people placement space. Attention to details, understanding the importance of all details no matter how small. Minimum of one year of human resources support or related experience, highly preferred. Exceptional communication, writing, judgment, and problem-solving skills. Should be a self-starter, solution-oriented, comfortable operating in a dynamic environment and very service oriented with a great disposition. Excellent attention to detail as well as solid organization/time management skills. Must be an enthusiastic, proactive, positive team player who is willing to help out and who works well with colleagues. Able to work in a fast-paced environment and handle multiple tasks concurrently. Proficient in Microsoft Office applications, especially Outlook for email, calendar and contacts. Knowledge of other applications is helpful including Excel, PowerPoint, and research tools. Must have impeccable written and verbal communication skills. Responsibilities: Maintain regular contact with consultants, especially during onboarding, including: Every-other-day check-ins during onboarding Birthday, start date, and end date acknowledgments Assist with tracking regular client follow up's on current consultants May be required to coordinate interviews with candidates, supplier and hiring manager. Confirm interviews by sending details to recruiters and following up with candidates on the day of the interview. Monitor onboarding status daily and flag any issues. Assist in reaching out to candidates to resolve onboarding-related concerns. Add client contacts to Diva system consistently and accurately. Upload rejection reasons from VMS into Diva. Maintain detailed and up-to-date notes in Diva. Track sales and client follow-ups. Send candidate rejection emails in a timely and professional manner. Receives incoming requirements and performs requisition assignment, writes job posting, cleanses job description, creates email merge, creates search strings, assigns requirements and posts to prescribed job boards. Review all submittal documents as required for correctness, pay rate, bill rate, employment history, location, etc. Format and update resumes as requested to include layout, language, spelling, grammar. When requested, engage w/ candidate and confirm interest upon being selected to interview with client. Manage and maintain calendars for team members, schedule all respective meetings and conference calls, field e-mails and phone calls requesting meetings, handle meeting conflicts and prioritization issues. Review candidate resumes to ensure alignment with client needs and expectations. Manage and update Excel files with available Client to support future business with client(s). Format resumes to standards. Navigate resources, interface with various departments on behalf of the team to collect information, respond to requests, and obtain services.
