About the Role
Are you highly organized, customer-focused, and great at keeping complex processes on track? We’re looking for a Sales Support Specialist to join our growing team! In this role, you’ll act as the vital link between our strategic sales reps, project managers, internal teams, and customers.
This role will process estimates and sales orders, coordinate with departments to meet delivery expectations, and support strategic accounts with proactive communication and care. The ideal candidate is detail-oriented, technically skilled, emotionally mature, and thrives in a fast-paced environment where teamwork, accuracy, and accountability are key.
Responsibilities
???? Support Sales Team
- Coordinate with sales reps to compile accurate data and generate timely estimates and sales orders.
- Serve as a reliable point of contact for customer inquiries and assist in resolving order-related issues.
- Maintain strong communication with clients to support long-term strategic accounts.
???? Order & System Management
- Process purchase orders using QuickBooks, CRM, and a future ERP system.
- Monitor order accuracy and coordinate updates across departments (inventory, finance, sales).
- Pause order fulfillment to prevent inaccurate or incomplete shipments, when required.
???? Cross-Departmental Coordination
- Partner with internal teams to resolve delivery roadblocks, accounts receivable issues, and data discrepancies.
- Ensure alignment between all systems when changes occur.
- Assist with physical inventory counts and maintain inventory data integrity.
???? Frontline Customer Service
- Answer incoming calls with professionalism and warmth, directing inquiries to the appropriate contact.
- Provide troubleshooting assistance for order status, account questions, and customer concerns.
???? Additional Support
- Assist with reports, internal projects, and continuous process improvements.
- Escalate issues appropriately and collaborate with management as needed.
Ideal Candidate
Experience & Skills
- 2–5 years of experience in sales support, order processing, or customer service roles.
- Proficient in Microsoft Office 365, particularly Excel; experience with QuickBooks, CRM, and/or ERP systems is a plus.
- Familiarity with Business-to-Business environments, specifically manufacturing, construction, or project-based industries.
- Experience managing inventory, quoting jobs, and supporting cross-functional teams.

- Experience in inventory control, logistics, or project coordination.
- Familiarity with QuickBooks, ERP software, or other business systems.
- Multilingual abilities—especially helpful for working with diverse clients.
