SUMMARY
The primary purpose of this position is to assist with all Social Sales office duties to allow more selling & managing time for the Social Sales Management, Golf Group Sales Manager & Social Sales Coordinators. EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or a minimum of three months related experience; or equivalent combination of education and experience. ESSENTIAL DUTIES AND RESPONSIBILITIES Assist with the servicing aspect of group bookings made by the Golf Group Sales Managers. This will include entering rooming lists, setting up package codes, splitting tee times and making last minute golf & room changes as needed by the sales managers.
Responsible for configuring package codes for all social packages including golf academy & wholesale rates.
Create rate sheets for special promotions along with core packages from Director of Yield. Distribute to Reservation Sales.
Responsible for entering wedding contract information into Visual One and handling the special room needs for brides, grooms & immediate family. This requires proficiency in Visual One, our Property Management System (PMS).
Complete weekly payroll for Reservation Sales including weekly commissions. Become proficient in payroll system to correct missing punches, pull reports, check balances and process vacation, PTO & holiday pay for entire team.
Create & distribute various reports for the team including tee time split, discount chart and package reports.
Assist with internet inquiries as back-up.
Learn Visual One front office system in order to understand how to make reservations, check availability, enter travel agency information, enter guest history information and make changes and corrections to all of the above.
Become proficient in Golf Pro. Assist with splitting out tee times for reservation sales coordinators as needed.
Become proficient in NAVIS/Narrowcast to assist with preparing & posting weekly update reports for the team and track special monthly incentives.
Organize outbound call & email campaigns for the Reservation Sales Coordinators to be proactive in following up with their past guests, our highest spend guests per quarter and our lapsed guests. Assist with outbound sales calls to past guests for rebooking future business as directed.
Have vast knowledge of all resort amenities, special events, special promotions and policies and procedures through property tours and by completing the Reservation Sales training program.
Become proficient in rGuestseat restaurant reservations and spa reservations to assist as needed.
Calculate monthly incentive payouts and process check requests monthly.
Learn and complete all procedures to assist as back-up during extremely high call volume times for all Reservation Sales positions
Assist with all other administrative type duties in the office for Director & Assistant Director of Reservation Sales. This may include additional reports, gift cards and written communication to guests. PHYSICAL DEMANDS

While performing the duties of this job, the employee is regularly exposed to extreme heat (hot office). The employee is occasionally exposed to fumes or airborne particles. The noise level in the work environment is usually moderate.
