Customer Service Supervisor and Sales Coordinator

Location: Mount Prospect, IL
Schedule: Monday-Friday - 8 am-5 pm
Pay rate: $33-$40/hr

Duties:
  • Customer Support & Communication
    • Responded to customer inquiries via phone and email, providing product information, pricing, and support.
    • Resolved customer issues, including discrepancies with pricing, freight terms, and damaged or missing shipments.
    • Supported warranty claim and repair processing in coordination with the Technical Support Manager.
    • Routed referrals and website leads to sales representatives or distributors.
  • Order & Contract Management
    • Reviewed customer orders for contractual accuracy, including items, pricing, terms, and freight requirements.
    • Managed quotations, contracts, and document storage from initiation through completion.
    • Prepared quotations, freight costs, shipping documents, notifications, PO acknowledgements, and invoicing instructions.
    • Compiled fleet orders, coordinated with production planning, updated customers with tracking/acknowledgment files, and directed ASN/invoicing per customer requirements.
    • Coordinated freight carriers, obtained shipment quotes, and ensured invoicing accuracy.
  • Sales Administration & Reporting
    • Maintained customer account information in Sage100 ERP, including addresses, pricing, payment terms, and freight requirements.
    • Processed credit references, requested credit limits, and monitored accounts receivable.
    • Tracked and followed up on open quotations; prepared weekly reports on monthly and YTD sales.
    • Established and maintained standardized processes for quotations, contract review, and electronic document storage.
  • Relationship Management & Marketing Support
    • Built and maintained customer relationships
    • Assisted VP of Sales with marketing initiatives, including website content, literature, sales promotions, and trade show coordination.

Requirements:
  • Associate degree or higher, with 8–12 years of customer service experience.
  • Background in a commercial manufacturing or distribution environment; HVAC product knowledge preferred but not required.
  • Strong communication and organizational skills with a professional, customer-focused demeanor.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Experience using ERP systems for data entry and report generation; Sage 100 (MAS 200) preferred.
  • Familiarity with graphic design software such as Adobe, Corel, or Publisher.
