We are looking for a motivated Executive Sales Administrative Assistant to join our growing team in our Boston office.

Position Responsibilities:

  • Support senior leadership of US Retail Distribution.
  • Responsible for calendar management and scheduling for department staff.
  • Prepare expense reports, process invoices and track expenses for department staff.
  • Organize and attend meetings, take detailed notes, and assist with project management.
  • Interact with key internal personnel and clients in a highly professional manner.
  • Review incoming communications and coordinate an efficient and timely response.
  • Respond independently to inquiries and situations using discretion and judgment.
  • Prepare documents and draft communications on behalf of senior management.
  • Apply retention principles to properly store department records and confidential data.
  • Maintain department policies & procedures. Ensure records are accurate and up to date.
  • Complete various ad hoc projects and support rollout of pivotal initiatives.
  • Train and assist teammates to use business applications and administrative systems.
  • Work with others to ensure the effectiveness of the sales support ecosystem.
  • Find opportunities to enhance and optimize internal processes.
  • Coordinate the Strategic Relationship TEAM monthly newsletter.
  • Help coordinate logistics and plan on-site client meetings, sales meetings, due diligence meetings, broker/dealer conferences and roadshows.
  • Work closely with the TSS on sales, activity, and campaign reporting. Use Salesforce to create reports and campaigns.
  • Act as Salesforce admin, completing CRM needs and requests. Encourage and train to understand and use the CRM systems.
  • Maintain inventory of marketing literature for home office use.

Required Qualifications:

  • College Degree preferred with 1 to 2 years of business experience.
  • Proficiency with MS Office suite (Outlook, Word, PowerPoint & Excel).

Salary Range:

$51,975.00 USD - $86,625.00 USD
