We are seeking a proactive and highly organized Executive Sales & Marketing Admin to support our leadership team and sales operations.
Position Summary
The Executive Sales & Marketing Admin will provide essential support to Executives, Salespeople, and the Complex Marketing Coordinator. This individual will manage sales and marketing processes, assist with events, maintain cross-location communication, and handle sensitive information with discretion. Success in this role requires initiative, strong organizational skills, attention to detail, and the ability to manage urgent priorities effectively.
Key Responsibilities
Executive Support Provide direct support to Executives and Senior Leadership, handling confidential information with discretion. Take initiative on projects and assist Senior Leaders with high priority needs as they arise. Sales Support Handle sales paperwork with urgency and accuracy to ensure timely processing and prevent delays. Support the sales team by preparing quotes, contracts, and customer communications. Maintain accurate online listings of used equipment, adding, removing, and updating postings weekly in coordination with the Sales Manager. Marketing Support Assist with planning and executing marketing initiatives, including field days and customer events. Create engaging presentations, flyers, and marketing materials using PowerPoint, Canva, and Photoshop. Support social media and promotional campaigns in coordination with the Complex Marketing Coordinator. Collaborate with vendors and suppliers on marketing projects, promotional items, and co-op advertising programs. Ensure brand consistency across all sales and marketing materials. General Administrative Duties Maintain organized filing systems for sales and marketing documents. Prepare spreadsheets and reports, ensuring accuracy of all data. Answer and route incoming calls professionally, assisting customers and directing inquiries as needed. Provide front-line support for walk-in customers, ensuring a professional and welcoming experience. Communicate with administrative staff across multiple locations to align processes and share updates. Assist with general office upkeep, including preparing coffee, setting up conference rooms, and maintaining common areas. Perform other duties as assigned to support the smooth operation of the branch and sales team. Requirements
Required: Proven administrative support experience, preferably supporting executives and/or sales teams. Strong organizational skills with the ability to prioritize urgent tasks and manage multiple projects simultaneously. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience using creative tools such as Canva and Adobe Photoshop (or similar). Excellent written and verbal communication skills. Strong attention to detail and commitment to accuracy. Ability to maintain confidentiality with sensitive information. Professional phone presence and customer service skills. Preferred: 3-5 years of administrative experience. Background in the agricultural or equipment industry. Experience coordinating events such as company functions, field days, or customer gatherings.
