The Home Care Operations Manager is responsible for overseeing the day-to-day operations of the agency. This role ensures clients receive the highest standard of care while supporting and developing the caregiver team. Key Responsibilities
Operations Management Oversee daily agency operations to ensure compliance with state regulations, company policies, and quality standards. Monitor operational workflows and identify opportunities to improve efficiency and client satisfaction. Maintain accurate records and ensure the confidentiality of all client and caregiver information.
Scheduling Manage and optimize caregiver schedules to ensure reliable, timely, and consistent client coverage. Match caregivers to clients based on skills, availability, and client needs. Address scheduling conflicts, last-minute cancellations, and ensure adequate coverage at all times.
Client Care Coordination Serve as the primary point of contact for clients and their families regarding care services. Conduct client intake, needs assessments, and ongoing care reviews. Develop and update individualized care plans in collaboration with caregivers and families. Monitor client satisfaction and address concerns promptly and professionally.
Caregiver Training, Development & Retention Implement onboarding and training programs to prepare caregivers for client assignments. Provide ongoing professional development opportunities, including specialized training in dementia care, personal care, and safety protocols. Build a positive work culture that promotes retention, recognition, and engagement. Conduct performance evaluations and provide coaching and feedback.
Talent Acquisition Lead recruitment initiatives to attract, interview, and hire high-quality caregivers. Build relationships with local schools, training centers, and community organizations to create a pipeline of candidates. Ensure background checks, references, and credential verifications are completed prior to hire.
Administration, Payroll & Billing Oversee weekly payroll processes, ensuring the accuracy of hours worked and compliance with labor laws. Manage billing and invoicing processes in coordination with finance systems. Maintain compliance with insurance, licensing, and legal requirements. Track operational KPIs to support business performance and growth.
Qualifications Bachelor’s degree in Business Administration, Healthcare Management, or a related field is preferred. 3+ years of experience in healthcare, home care, or operations management. Strong leadership and team management skills. Excellent organizational, problem-solving, and communication abilities. Proficiency in scheduling software, payroll systems, and client management platforms (e.g., WellSky, ClearCare, AxisCare).
