Job Responsibilities:
Assist the intake team in meeting and exceeding census goals by managing new patient inquiries and intake process
Complete administrative tasks that follow intake calls when needed (i.e. sending benefit verification requests, communicating with clinic staff, tracking leads in Monday.com, etc.)
Work alongside marketing team and clinic staff to ensure Zocdoc profiles for providers across all clinics accurately reflect individual exclusions and specialties, in-network insurances, and current openings
Confirm or cancel Zocdoc bookings for providers across all clinics through patient outreach, intake review, and communication with intake team and clinic staff
Manage intake "ring group" and begin intake paperwork with patients over the phone before passing new patients off to the intake team (i.e. demographics, preferred clinic and treatment modality, insurance information, etc.)
Send digital intake forms and schedule initial consultations via email for medication management patients
Assist the Director of Admissions with completing weekly and monthly reports (i.e. daily census, new patient pipeline, admissions bonus tracking, etc.)
Address any patient questions, concerns or complaints leading up to initial consultations
Follow cancellation, rescheduling and no-show policies and procedures as needed
Utilize Monday.com to track pending leads and patient communication
Perform additional intake, business development, marketing and clerical tasks as needed or assigned
Qualifications: High school diploma/GED required
Strong affinity for customer service
Working knowledge of office management and filing systems
Excellent organizational and time-management skills
Great communication and interpersonal skills
Proficient computer literacy and strong attention to detail
Ability to work in a fast-paced environment
Working Hours:
The Intake Administrative Assistant will follow a standard M-F 9:30am-5:30pm schedule in the first few weeks of training, but that schedule is subject to change to staggered shifts that consist of 8am-4pm, 9am-5pm, or 11am-7pm. Schedule will be confirmed and communicated at least 2 weeks in advance.
