Operations & Sales Support Specialist (Accounting / Admin / Trade Support)
Location: Memorial Area, Houston, TX
Job Type: Full-time | On-site / Hybrid (depending on policy)
Position Summary
We are seeking a motivated and detail-oriented professional to support cross-functional operations including sales coordination, basic accounting support, inventory tracking, and trade administration. This role is ideal for candidates with strong analytical and organizational skills, even if they have limited direct logistics experience. Prior exposure to trading, manufacturing, chemical, or energy-related businesses is a plus.
Key Responsibilities
- Perform data entry and transaction posting in SAP and/or internal company systems (similar to SAP)
- Prepare and manage key business documents such as sales invoices, debit notes, and internal reports
- Coordinate with logistics teams and vendors on shipping documentation (e.g., Pro Forma Invoices, L/C)
- Conduct unit conversions (e.g., cent/galloncent/lbsdollar/ton) and sales price calculations
- Assist in inventory tracking and monthly reporting for key products (e.g., Caustic Soda, Propylene)
- Support import/export documentation and communication with HQ offices (e.g., Tokyo)
- Monitor customer payments and generate monthly sales summaries
- Provide administrative support for internal process improvements, system transitions (e.g., to MOCA), and trade system implementation
- Ensure compliance with internal accounting procedures and support documentation for audits
- Collaborate with a team of approximately 10 members in a multicultural business environment
- Bachelor's degree in Business, Accounting, Finance, or related field (or equivalent experience)
- 2+ years of experience in operations, administration, accounting, sales support, or trade-related functions
- Proficiency in SAP or similar ERP/business systems
- Strong calculation and numeric reasoning skills
- Proficiency in Microsoft Excel and Word
- Ability to communicate clearly and professionally in English (written and spoken)
- Positive, team-oriented mindset with adaptability in a fast-paced environment
- Experience in logistics or international trade coordination
- Understanding of U.S. customs, documentation, or NSF standards (especially for chemicals)
- Familiarity with inventory reconciliation or derivative transactions
- Japanese language ability is a plus
- Experience supporting system transitions or ERP implementations
