Sales and Marketing Coordinator

Report to Director Marketing



About Your Role
The Sales and Marketing Coordinator plays a key administrative and operational role supporting the Sales and Marketing teams at iRent Everything and its associated brands. This position ensures accurate and timely processing of sales orders, supports team operations and meetings, manages logistics for marketing materials, and maintains efficient office workflows. The ideal candidate is highly organized, efficiency-minded, and comfortable juggling multiple priorities in a fast-paced, customer-facing environment.


Key Responsibilities

Sales Support

  • Review accepted estimates to ensure all required order details are present
  • Send customer invoices and monitor payment status
  • Release orders to internal teams upon payment (or per house account guidelines)
  • Enter orders into scheduling software
  • Make changes or additions to orders and scheduling as needed
  • Order linens and subrentals from approved vendors
  • Greet in-person sales customers professionally and direct them to the appropriate team member


Marketing and Administrative Coordination

  • Coordinate shipping and delivery of marketing materials as needed
  • Order office supplies and conference room materials
  • Support the Marketing Manager with promotional orders, trade shows, and other Marketing initiatives
  • Schedule meetings, coordinate calendars, and prepare agendas or follow-up notes
  • Maintain and organize the team SharePoint site for easy access to current documents
  • Track and manage storage of office supplies and inventory for general administrative items

Team Support & Onboarding

  • Coordinate onboarding and offboarding of sales and marketing team members
  • Maintain up-to-date shared folders, files, and internal documentation
  • Serve as a central administrative resource for both departments
  • Partner with HR/IT to ensure proper access, tools, and credentials for team members

General Administrative Duties

  • Provide day-to-day administrative support for the Sales and Marketing departments
  • Maintain accurate records of orders, vendor communication, invoices, and deliveries
  • Support CRM data integrity and assist with reporting and workflows

Qualifications

  • 2+ years of experience in sales coordination, office administration, or similar support roles
  • Strong understanding of QuickBooks or similar accounting/invoicing software
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams, SharePoint)
  • Familiarity with scheduling platforms like TeamUp or similar tools is a plus
  • Professional and friendly demeanor when greeting clients and guests
  • Highly organized, detail-oriented, and focused on process efficiency
  • Experience in the event rental or production industry is a plus

Work Environment
This role is on-site. Must be able to manage shifting priorities and maintain a high level of accuracy and responsiveness in a dynamic, customer-facing office.
