The DoubleTree by Hilton Rapid City Downtown Convention Center is seeking a detail-oriented, friendly, and highly organized Sales Administrative Assistant to support our dynamic Sales team. This position plays a key role in providing exceptional customer service to our guests and clients while ensuring smooth administrative operations within the sales office.
Key Responsibilities:
Front Office Support: Greet guests and clients professionally upon arrival to the sales office.
Answer incoming phone calls and direct inquiries to the appropriate team member.
Administrative Support: Perform general office duties including data entry, filing, and scheduling.
Generate, format, and update sales and event-related reports using Microsoft Word, Excel, PowerPoint, and Outlook.
Assist with reservation requests and group block entry using the property management system.
CRM and Database Management: Enter and maintain accurate client information, leads, and activities in the Customer Relationship Management (CRM) system.
Support the sales team with tracking leads, contracts, and event history.
Reservations & Billing: Make and modify guestroom reservations for individual and group clients.
Assist with billing responsibilities, including creating invoices, verifying charges, and preparing billing summaries for events and groups.
Team Collaboration: Communicate effectively with sales, front office, and accounting departments.
Provide support to Sales Managers with proposal preparation, site visit coordination, and event documentation.
Qualifications: High school diploma or equivalent required; Associate's or Bachelor's degree in business, hospitality, or related field preferred.
Minimum of 1-2 years of administrative or hospitality experience, preferably in a hotel or convention center setting.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Experience with CRM systems and/or hotel property management systems (Delphi, Opera, etc.) is a plus.
Strong organizational, communication, and multitasking skills.
