JOB OVERVIW
This position is responsible in assisting the Group Sales Managers in all administrative responsibilities such as managing schedules, filing important communication and maintaining positive customer relations. Manage Group Sales Team and facilitate communication between departments to ensure smooth integration of Group Sales activities.
DUTIES AND RESPONSIBILITIES Work closely with other departments within the hotel to ensure a proper handling of each VIP booking Analyze reports relating to the international markets (hotelligence report, historic reports, competitors, production reports) Learn how to read the daily morning reports and prepare welcome cards Trace Amenities, welcome cards, VIP Enter contacts in Delphi on a weekly basis Manage Sales Manager Calendars, Pre-Sales Trip Appointment Assist in organizing / creating Fam agenda Completion & submission of monthly expense reporting Input & tracking of purchase Orders relating to travel, marketing and general sales spend Office supplies &ordering as needed Email back up support (while traveling, as needed) Misc. projects as needed Shipping/ receiving of packages relating to trade shows, trips, sales missions Perform all general administrative duties for the office such as, answering phones and emails. Courier packages Fedex and mail is distributed as well as collateral shipped. Collaborate on all travel schedules, hotel and air reservations through STI. Ensure travel calendars are updated. Provide receipts and complete monthly expense reports. Ensures sales presentations are uploaded on IPADS. Answer/facilitate all incoming leads in a timely fashion. Maintain accurate and thorough notes/traces in Delphi. Assist with client follow up, post departure, with focus on program and business retention. Maintain focus on future booking pace from established and potential accounts. Consistently seek to maximize full potential of partnership with all client accounts. Register for trade shows. Pull Databases for marketing email blasts and visits. Cross reference business cards when returning from sales calls. File business cards accordingly. PHYSICAL ABILITIES Ability to lift up to 25 pounds Ability to move safely in uneven terrain or in confined spaces. Ability to see and respond to dangerous situations. Ability to remain in stationary position for 8 hours or more. Satisfactorily communicate with guests, management and co-workers to their understanding
