Corporate Administrative Support

The position is responsible for supporting the Executive and the respective teams, responsible for performing advanced, diversified, and confidential administrative duties requiring broad and comprehensive experience, skills and knowledge of the organization and its policies and practices.

Job Duties and Responsibilities

  • Manage confidential information.
  • Manage calendars, schedule meetings and coordinate travel arrangements for senior leadership.
  • Submit expense reports, prepare and track budgets.
  • Prepare and edit correspondence, reports, presentations and other documents that support executive initiatives.
  • Act as a primary point of contact for internal and external stakeholders ensuring timely and professional communication.
  • Assist in preparing sales proposals, contracts and client presentations.
  • Maintain and update CRM systems (e.g. Salesforce)
  • Review and clean CRM data to remove duplicates, correct inaccuracies and ensure consistency. Assist with auditing customer data.
  • Support new hires in Sales, Marketing and Customer Service by guiding them through CRM best practices for data entry and usage.
  • Act as first point of contact for basic CRM-related issues.
  • Build and manage reports in the CRM system.
  • Respond to Ad-Hoc requests from department leaders for specific CRM data pulls.
  • Log and track marketing campaigns in the CRM system.
  • Support marketing team in building marketing campaigns in the CRM system.
  • Assist in gathering market research data and preparing reports to inform marketing strategies.
  • Maintain marketing collateral including all branded merchandise.
  • Maintain reporting for all marketing channels and compile reports.
  • Track and manage deadlines.
  • Plan company events, meetings/presentations.
  • Maintain company store and company merchandise.

Education/Experience/Licenses/Certifications

  • Bachelor's degree with 5+ years' experience supporting Executives
  • Proficient in Advanced MS Microsoft Word, Excel, PowerPoint, Outlook
  • Proficient in CRM - Salesforce preferred.
  • Capable of multi-tasking.
  • Excellent listening, written and oral communication skills.
  • Clear and concise communicate with all levels of an organization.
  • Outstanding organizational skills.
  • Able to exercise good judgment and critical thinking.
  • Capable of prioritizing as business needs/tasks change.
  • Maintain confidentiality and attention to detail.
  • Flexibility, responsiveness, and willingness to take on assignments.
  • Able to work quickly and meet deadlines.
  • Excellent presentation skills.

Physical Demands/Working Conditions

  • Majority of time will be spent in an office environment.
  • After hours and weekend work may be required.
  • Occasional travel.
