The Sales & Marketing Project Administrator plays a key support role in organizing, coordinating, and tracking key initiatives across the sales and marketing organization. This utility position reports to the VP of Sales & Marketing and collaborates closely with Sales Directors, Marketing, and Analytics to ensure strategic execution of company priorities. Duties/Responsibilities: Support the VP of Sales & Marketing with project coordination across sales, marketing, and business development. Track project milestones, deadlines, and deliverables using shared tools and project timelines. Coordinate meetings, prepare agendas, take notes, and follow up on action items across departments. Collaborate with Sales Directors to ensure alignment on initiatives, rep onboarding, and team enablement. Work with Data Analytics to generate and distribute weekly/monthly reports on KPIs and sales performance. Assist the Marketing Manager with campaign logistics, creative schedules, and third-party coordination. Maintain shared documentation libraries, proposal templates, and internal communication tools. Act as the 'glue' across departments to keep projects organized, documented, and on track. Qualifications
Skills/Abilities: Highly organized with strong attention to detail and follow-through Excellent communication and interpersonal skills; able to work across diverse teams Strong work ethic, reliability, and willingness to learn Proficient in the Microsoft Office Suite Willingness to learn, grow, and uphold a customer focused culture that continually strives to exceed expectations Education and Experience: 3+ years in a project coordination, sales admin or operations role Experience with CRM systems, project management tools (, Asana, Trello, Smartsheet), and document sharing platforms Background in energy, fuels, industrial or B2B marketing is a plus Physical, Mental, and Behavioral Requirements: The physical requirements described here are representative of those that must be met by the incumbent to successfully perform the essential functions of this job. Regularly and safely lifts, carries, and handles supplies and equipment weighing at least 20 - 30 pounds Prolonged periods sitting at a desk and working on a computer The employee is occasionally required to stand, walk, reach with hands and arms, stoop, kneel, crouch Must pass pre-employment screening and background check Position may require working evening hours and weekends as needed
