About the Role
Trossen Robotics is seeking a Sales & Operations Coordinator to act as the link between our customers, sales team, and operations. This role combines sales support, CRM management, shipping coordination, and production scheduling to ensure customers receive timely, accurate communication and products. You’ll help drive a seamless customer experience while supporting the operational backbone of our growing robotics business.

Key Responsibilities
Customer & Sales Support
Serve as a primary point of contact for customer inquiries, quotes, and order updates.
Enter and track all opportunities, orders, and customer interactions in Nutshell CRM .
Prepare and send sales quotes, invoices, and follow-ups to customers.
Generate sales reports and assist in forecasting for leadership.
Order Processing & Administration
Accurately enter customer orders into ERP (OrderTime) and ensure details match CRM data.
Maintain records and documentation for customer accounts.
Coordinate internally to resolve order or billing issues quickly.
Shipping & Logistics
Arrange and manage domestic and international shipments (FedEx, UPS, DHL, freight).
Prepare and review shipping documents including BOLs, commercial invoices, and HTS/ECCN codes.
Communicate shipping updates to customers and resolve delivery issues.
Production Scheduling Support
Collaborate with the Operations Manager and Production team to build and update production schedules.
Ensure customer orders are prioritized correctly and deadlines are met.
Monitor inventory availability and flag shortages to the supply chain team.
Requirements
3+ years experience in sales coordination, customer service, or order management.
Proficiency with Nutshell CRM (or similar CRMs) and ERP systems (SAP, Infor, OrderTime).
Knowledge of shipping logistics, documents, and compliance (HTS, ECCN, Incoterms).
Excellent communication and relationship management skills.
Strong attention to detail, accuracy, and organizational skills.
Preferred Qualifications
Background in a manufacturing, robotics, or technology business.
Familiarity with international shipping and trade compliance.
Advanced Excel/Google Sheets skills for reporting and scheduling.

Starting salary $50,000 (or adjusted based on experience).
