Event Coordinator

Riggs Washington DC sits on the iconic downtown corner of Penn Quarter's 9th and F Street in a historic building once home to Riggs National Bank. Riggs is home to the all-occasion European brasserie-inspired restaurant Caf Riggs, as well as Silver Lyan a subterranean bar from the internationally acclaimed Ryan Chetiyawardana, also known as Mr Lyan.

General Duties and Responsibilities

  • Prepares all event documentation and coordinates with Food and Beverage, Sales, other Operational Departments, and client to ensure consistent, high-level service through pre-event, event, and post event phases. Recognizes opportunities to maximize revenue opportunities by upselling and offering enhancements to create memorable events.
  • Manages pipeline of inquiries for Food and Beverage Outlets, identifying sales opportunities within their scope of work or directing potential clients to appropriate Catering or Sales teams.
  • Acts as liaison between Outlet Operators and client throughout the event process. Makes presence known to customer at all times during this process.
  • Proactively identifies potential operational challenges associated with their event and works with the hotel staff and client to solve these challenges and/or develop alternative solutions.
  • Manages outlet space for assigned groups.
  • Collaborates with Food and Beverage colleagues on the ability to accommodate client demands, including Audio Visual requirements, fit of available space, and any additional materials.
  • Work in an open office/ team environment with Food and Beverage, Sales, and Catering to promote hotel, develop leads and secure re-bookings.
  • Works with Operational Leadership to improve existing standards including: flow of operations, execution of events, maximizing revenue potentials, and pre-and-post planning methods.
  • Access and input data into a computer system to generate lead tracking, call logs, and account history reports.
  • Sells and manages private photography requests.
  • Comply with attendance rules to be available to work on a regular basis, sometimes including nights and weekends.
  • Perform any other job-related duties as assigned.

Experience and Requirements

Must possess 1+ years of direct, related administrative or operations experience; those with luxury hotel sales and marketing and/or hotel operations experience will be preferred.

  • Solid administration skills including (but not limited to): accurate and timely filing, proofreading and editing documents, managing multiple incoming telephone calls, faxing, mailing, emailing and creating various business documents required.
  • Excellent communication skills (both written and verbal) with fluency in English required.
  • Computer proficiency is required with proven abilities in MS Office, Word, Power Point, Excel; those with prior experience utilizing Amadeus/ Delphi will be strongly favored.
  • Prior experience assisting with Food and Beverage Operations is preferred.
  • Ability and willingness to work flexibly; including early mornings, evenings and weekends as business needs require.
  • Must possess superior multi-tasking skills and the ability to work well in a fast-paced environment.

Compensation: Salary 65K plus commission
